A gym class schedule QR code, always current
Members see this week's classes on their phone, and a cover teacher or a moved class shows up the moment you upload.
A gym class schedule QR code opens your current timetable on members' phones. Upload the week's schedule as a PDF, print the code at reception, in the changing rooms and on flyers, and replace the file when a class moves. Every printed code then shows the new times from the next scan.
Cover class, already posted
A member scans the mirror sticker and sees the 7:00 spin class has a cover teacher today.
How to publish the timetable by scan
Lay out the week
Days across, times down, class name and teacher in each slot. Mark new classes clearly.
Upload the PDF
Choose the PDF type above and upload it. The code opens it in any browser.
Print where members stop
Reception, the changing room mirror, the water station and the studio door.
Update for changes
Cover teacher or a holiday timetable? Upload the new file and the codes follow.
Worked example: a studio with twenty classes a week
- The prints
- A poster at reception and stickers on each mirror read "This week's classes".
- The change
- A teacher is ill on Tuesday. The manager uploads a schedule with the cover class at 7:00.
- The result
- Members check before they leave home, and fewer arrive for a cancelled class.
Fixed or editable for a class schedule?
-
Fixed QR code (static)
A fixed code can only hold a link to a timetable you host yourself, at an address that never changes. It is free.
-
Editable QR code (dynamic) Our pick for this job
An editable code hosts the timetable, swaps it whenever classes change and counts scans by day. We recommend it here. From $9 a month after the 14-day trial.
Timetables members use
Show this week only
One week per file keeps it readable on a phone screen.
Add the booking link
A booking link in the PDF lets members reserve a spot straight from the timetable.
Mark cover and changes
A highlighted cell for each change saves questions at the desk.
Questions and answers
Before you print
- Is it free?
- Fixed codes are free: make as many as you like, download a PNG with no sign-up, and get every other format and print files with a free account. Editable codes come with a plan, a pass, Keep-alive or the 14-day trial.
- Can I change the link after printing?
- Yes, with an editable code. It holds a short link you control, so you can point the printed code somewhere new any time, and the next scan opens the new page. A fixed code keeps the link it was made with.
- Can I use my own domain?
- Yes. A custom domain is included on passes, from Starter, and during the trial. Starter covers one subdomain, for example go.yourbrand.com, and apex domains start on Pro.
- What happens if I stop paying?
- Editable codes work to the end of your paid period, and after a failed payment every code keeps working for 14 days. Turn codes back on within 12 months. Fixed codes keep working as long as their links do.
Can I update the class schedule without new posters?
Yes, with an editable code. Upload the new timetable and every poster and sticker opens it from the next scan.
Should the timetable be a PDF or my booking page?
If your booking software has a public timetable page, link that. A PDF suits studios that make their own weekly timetable.
Where should the code go in a gym?
Reception, the changing rooms, the water station and studio doors, where members stop for a moment.
Can members book a class from the code?
Add your booking link to the timetable PDF, or point the code straight at your booking page.
How big should the code be on a mirror sticker?
About 3 to 4 cm, placed at chest height where members stand to check their phone.
Can I run a holiday timetable for two weeks?
Upload the holiday timetable to the same editable code, then switch back to the normal one when it ends.
Can I show the timetable on the gym screen too?
Yes. Show the same code on the reception screen or in the app, so members who saw the screen can carry the timetable on their phone.
How do I tell members about a new class?
Highlight it on the timetable and add a line under the poster code, such as "New: Friday 18:00 mobility". Members who scan see it at once.
One code, every timetable
Upload this week's classes and print the reception poster once.
