QR code asset tags that open each record
Anyone with a phone opens the item's record, owner or service log from the tag, and you keep the records in one place.
QR code asset tags give each item a code that opens its record: owner, location, purchase date and service log. Number every asset, make one code per asset ID pointing at its record in your spreadsheet or asset tool, and print durable tags. A scan then shows who has it and when it was last checked.
Who has projector PR-07?
A teacher scans the tag and sees the projector's room, last service and who borrowed it.
How to tag your assets
Number every item
Give each asset an ID, such as LT-0042, in your spreadsheet or asset tool.
Link each record
Each ID gets a record page or a form link. The bulk tool turns the list into codes.
Print durable tags
Polyester or metal-look labels with the ID printed beside the code.
Scan on each check
Staff scan during audits and repairs and add the note to the record.
Worked example: a school with 400 laptops
- The tags
- Each laptop has a tag with its ID and a code to its record in the school's asset sheet.
- The loan
- When a laptop goes to a pupil, staff scan, open the record and enter the name.
- The year end
- The audit takes a morning: scan each laptop, tick it found, and list the missing ones.
Fixed or editable for asset tags?
-
Fixed QR code (static)
A fixed code holds one record link for good. It is free and fine when your asset tool gives each item a permanent address.
-
Editable QR code (dynamic) Our pick for this job
Editable codes let you move to a new asset tool without retagging, and show when each tag was last scanned. From $9 a month after the 14-day trial; bulk codes cover the whole list.
Tags that last
Print the ID too
A readable ID beside the code helps when a tag is scratched.
Pick the surface
Flat, clean spots away from heat and handles keep tags readable for years.
Plan the numbering
Prefixes like LT for laptops and PR for projectors make lists easy to filter.
Questions and answers
Before you print
- Is it free?
- Fixed codes are free: make as many as you like, download a PNG with no sign-up, and get every other format and print files with a free account. Editable codes come with a plan, a pass, Keep-alive or the 14-day trial.
- Can I change the link after printing?
- Yes, with an editable code. It holds a short link you control, so you can point the printed code somewhere new any time, and the next scan opens the new page. A fixed code keeps the link it was made with.
- Can I use my own domain?
- Yes. A custom domain is included on passes, from Starter, and during the trial. Starter covers one subdomain, for example go.yourbrand.com, and apex domains start on Pro.
- What happens if I stop paying?
- Editable codes work to the end of your paid period, and after a failed payment every code keeps working for 14 days. Turn codes back on within 12 months. Fixed codes keep working as long as their links do.
What should an asset tag QR code open?
The item's record: what it is, who has it, where it lives and its service history. A form link for reporting a fault works well too.
Can I make hundreds of asset tags at once?
Yes. Upload your list of asset IDs and record links in the bulk tool and download every code for your label printer.
What if we change asset software later?
With editable codes, point each tag at the new record address in bulk and keep every printed tag in place.
What material should asset tags be?
Polyester or vinyl labels with a strong adhesive last for years on laptops and tools. Laminated paper suits indoor furniture.
How small can an asset tag code be?
About 1.5 cm works at close range for a short link. Longer links need larger codes, which is one more reason to use a short link.
Can staff report a fault from the tag?
Link the code to a fault form with the asset ID already filled in, so reports arrive with the right item named.
Can the tag record a check without a login?
Link the code to a short check form with the asset ID filled in. Staff scan, tick the check and submit, and the answer lands in your sheet with the time.
Every item, its record
Paste your first asset record link and print a test tag.
