An event agenda QR code that keeps up
Attendees check sessions and rooms on their phone, and your team updates the programme even after the doors open.
An event agenda QR code opens your programme on attendees' phones. Upload the schedule as a PDF, print the code on posters, badges and the welcome desk, and update the file when a session moves. Everyone who scans from then on sees the current times and rooms, without a reprint or an announcement.
The room changed, the poster knows
An attendee scans a door poster and sees that the keynote moved to Hall A at 11:30.
How to publish an agenda by scan
Lay out the day
Time, session, speaker and room in one table per day. Large text keeps it readable on a phone.
Upload the PDF
Choose the PDF type above and upload the file. The code opens it in any phone browser.
Print it everywhere
Welcome desk, room doors, badge backs and the coffee area. People check the agenda between sessions.
Update during the event
A speaker runs late? Upload the new file and the next scan shows it.
Worked example: a one-day conference with four rooms
- The prints
- Posters at each room door and the badge back carry the same code, captioned "Today's agenda".
- The change
- At 11:00 a keynote moves to the larger hall. The organiser uploads the new PDF at the desk in a minute.
- The effect
- Attendees walk to the right room, and the hall fills without a single announcement.
Fixed or editable for an agenda?
-
Fixed QR code (static)
A fixed code can only hold a link to an agenda you host yourself, at an address that must not change. It is free.
-
Editable QR code (dynamic) Our pick for this job
An editable code hosts the agenda and swaps it during the event, so we recommend it here. A pass covers one event: $12 for 3 months, paid once, or use the 14-day trial for a short one.
Agenda details people need
Room names on every row
The room matters more than the session blurb when people are walking between talks.
Mark changes
Put "Updated 11:05" at the top, so attendees know they are looking at the current version.
One code, many places
Use the same code on every print. Posters, badges and slides then all open the same agenda.
Questions and answers
Before you print
- Is it free?
- Fixed codes are free: make as many as you like, download a PNG with no sign-up, and get every other format and print files with a free account. Editable codes come with a plan, a pass, Keep-alive or the 14-day trial.
- Can I change the link after printing?
- Yes, with an editable code. It holds a short link you control, so you can point the printed code somewhere new any time, and the next scan opens the new page. A fixed code keeps the link it was made with.
- Can I use my own domain?
- Yes. A custom domain is included on passes, from Starter, and during the trial. Starter covers one subdomain, for example go.yourbrand.com, and apex domains start on Pro.
- What happens if I stop paying?
- Editable codes work to the end of your paid period, and after a failed payment every code keeps working for 14 days. Turn codes back on within 12 months. Fixed codes keep working as long as their links do.
Can I change the agenda after printing the posters?
Yes, with an editable code. Upload the new schedule and every poster, badge and slide shows it from the next scan.
Should the agenda be a PDF or a web page?
A PDF is quick to make and looks the same on every phone. If your event app has a schedule page, link that instead.
Where should agenda codes go at a venue?
At the entrance, on each room door, on the badge back and in the coffee area. Those are the places people check what is next.
Does every attendee need to download something?
No. The agenda opens in the phone browser and can be saved to the phone if the venue signal is weak.
How long should the code stay active?
For the event and a few days after, when people look up a talk again. A pass that matches the dates keeps it simple.
Can I show a different agenda on each day?
Put every day in one PDF with a page per day, or upload the next day's agenda each evening. With an editable code the same posters and badges show whichever file is current.
One agenda, always right
Upload your programme and print a code for every door and badge.
